Privacy Policy
Last updated October 21, 2026
Up-Board CRM LLC ("UpBoard," "we," "us") makes a texting CRM for car dealerships. This policy explains what information we handle and how. It covers this website, the UpBoard app, and the information dealerships keep in UpBoard about their customers.
Who controls what
- Dealerships' customer information. When a dealership uses UpBoard, it decides what to collect about its customers and how to use it. We handle that information only to provide UpBoard to the dealership, following its instructions. Each dealership has its own privacy policy. If you're a car shopper, please contact the dealership about your information. We'll pass on any request we receive.
- Dealership staff and our own contacts. We control the information about the people who sign in to UpBoard and the people who email us.
What we collect
- Account information: names, usernames, email addresses and mobile numbers of dealership staff, and the dealership's business details.
- Dealership customer information the dealership adds or receives: names, phone numbers, emails, vehicles of interest, trade-in details and photos, appointments, notes, texts, emails, call records and voicemails.
- Technical information: sign-in records, IP addresses and error logs, used to keep the service secure and working.
- Notification subscriptions, if a staff member turns on phone notifications.
The UpBoard app uses only the cookies it needs to keep you signed in. We don't use advertising or tracking cookies. This website loads its fonts from Google Fonts.
How we use it
- To run UpBoard: deliver and receive texts, emails and calls, schedule follow-ups, show reports, and send notifications.
- To write suggested or automatic replies with AI, when the dealership turns that on.
- To keep UpBoard secure, back it up, fix problems and provide support.
- To bill dealerships and contact them about their account.
We don't sell personal information, and we don't use dealerships' customer information for our own marketing.
Text messages
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with or sold to any third party. Phone numbers are shared only with the carriers and service providers that deliver the messages.
UpBoard honors STOP, START and HELP replies automatically. A customer who replies STOP gets no more texts from that dealership through UpBoard until they reply START.
Service providers
We use these providers to run UpBoard. Each gets only what it needs for its job:
- Cloud hosting in the United States, where UpBoard and its backups are stored.
- Texting and calling: Twilio, or SMS Gateway for Android on the dealership's own phone.
- AI replies: Google (Gemini), for the text of the conversation it's asked to reply to.
- Email: the dealership's own email provider.
- Phone notifications: Apple, Google or Mozilla's push services, which carry a short notice to the staff member's device.
We may also disclose information when the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, under this policy.
How long we keep it
We keep a dealership's information while it uses UpBoard. Backups are kept for up to six months. When a dealership leaves, we delete its information within 90 days, unless it asks for a copy first or the law requires us to keep it. Trade-in links expire after 30 days.
Security
UpBoard runs over encrypted connections (HTTPS). Every staff member has their own password, and passwords are stored hashed. Repeated wrong passwords are slowed down. Each dealership's information is kept separate, and we back it up every day. No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.
Your choices and rights
- Car shoppers can reply STOP to any text to stop texts from that dealership.
- You can ask to see, correct or delete your information. Shoppers should contact the dealership first. Anyone can email support@upboard.org.
- Depending on where you live (for example California), you may have more rights under state law. We'll honor them, and we won't treat you differently for using them.
Children
UpBoard is for businesses and isn't directed to anyone under 18.
Changes
If we change this policy, we'll post it here with a new date. We'll email dealerships about important changes.
